Timekeeping - Importing Time Data

Before you begin

Before you begin importing time data, you must first update the employee database. If there are newly hired employees, you must first create their employee records. Their employee numbers will be needed during the validation of the time data.

To add new employees, go to EMPLOYEES and enter all the pertinent employee data.

Importing Time Data

1. Copy the data file DBPROXPRO.

  • The DBPROXPRO is the file that contains the time data. It is where the proximity electronic timekeeping software stores the data. This software is a 3rd party software independent from the New Payroll.
  • To import the data from DBPROXPRO, simply create a copy of this file and save it into the New Payroll directory. The DBPROXPRO is usually stored in the c:\Program Files\ProxPro\.
  • The New Paryoll directory is c:\GreatLab\. Save a copy of DBPROXPRO in this location c:\GreatLab\Database.

2. Import the time data.

  • To import the time data,

    1. Enter the cut-off date. In the COMMAND PANEL, under DATE RANGE, enter the cut-off date in the FROM field. You only need to specify the FROM date. The TO date is not necessary. What the program will do is to import all time data from the date you specified up to the current date. To ensure that your time data are complete, enter a cut-off date that is one day earlier. Don't worry. The program has a facility to ignore duplicate records.
    2. Click the tab TIMEKEEPING and click IMPORT TIME DATA. The program will confirm if you have entered the correct date. If you did not, simply cancel the task. Otherwise, you may proceed by clicking OK.

What the program does

The New Payroll extracts every time record from the time data file based on the date you specified. Then, it checks the card number in every record against the employee records. If a match is not found, it is purged into a data file. This purged data is displayed at the end of the task.

What to do in case of a no matched employee

If there's no employee match, you have to verify the data and enter the correct card number. If you don't have any other source to verify the incorrect card number, you can leave the records as is. You may need these data to verify a time entry. You can delete though the older records.

Marketing Ideas

I'm a concept person; not an action person. When it comes to marketing, I may have the creative and often times the radical idea of how to market or promote a product or service. But, when it comes to implementation, somebody has to do it for me especially if involves leg work and lip work. I can hardly convince a person. I'm not a sales talker, in fact, I hate the stuff. When somebody sales talk me, I feel my time is wasted. I prefer that he talks to me straightforward and direct to the point. No lies. Just plain and simple truth.

Multi-level marketing is a system that I am not a fan of. I do not like the idea of a person getting rich doing nothing. It is the hard work of his recruits that make him rich. But believe it or not, I have attended a dozen multi-level marketing seminars since 1996. Out of courtesy, of course, to those who invited me. First, I would try their products. If their good, I would sign up just so I can avail myself of the products at discounted prices. Other than that, I do nothing at all. I don't recruit.

I only signed up for the very first one and the last one I attended. The first one offered Isho Genki squalene, which I find it beneficial to health; and the second, which is the latest one, offers Alive! Mega-Nutritionals. I signed up for this because I love the product. This is one good anti-oxidant. Good for nocturnal workers like me. If you want to know more about this, visit Feed Ur Body.

If you're interested in the product, email me or leave a message at +63927-2524652. If you're interested to join the company as multi-level marketer, I will refer you to the person who can explain it well to you.

Automating Your Business

Your company can be more efficient if your business operations are automated. Full automation, however, is expensive. You will need to invest millions of pesos or dollars. But that shouldn't hinder you from automating you business. You can do it one step at a time. It can start with your own department. Are you receiving your reports today when you need them yesterday? Automation can help. Is there a voluminous task in your department that you would require your staff to work overtime? Time to automate. Do you have a routine work that is so tedious to accomplish? Maybe, automation is the answer. If you're having these problems, contact your programmer. He may be able to help. If none is available, consult me. I may be able to help.

Side notesDid you know that "routinary" cannot be found in the dictionary? Why? Because there is not such a word. The correct word is "routine". So, if you're used to saying "routinary", time to change. Say "routine" instead.

Graphic Design

For your graphic design needs like logos, brochures, fliers, pamphlets, booklets, newsletter, e-zine, magazines, catalogs, banners (like tarpauline), posters, CD covers, photo albums (like wedding albums), business cards, silk-screen design, invitations, and other marketing collaterals, I may be able to help as well.

I can also do CD kiosks. A CD kiosk is a business or product presentation stored on a CD. For this purpose, I use Adobe Flash, the software that delivers interactive multimedia and animations. A CD kiosk is something you can distribute to your clients or customers or play repeatedly at your promotion booth.

For your other needs, I can do photo editing - restore an old photo, collage your photos, create group portrait out of individual photos, have a fantasy photo, retouch your photo like make you look younger and slimmer, be a cover of a magazine, pose with your favorite celebrity idol, etc.

Web Design

I also do web designs. But I yet have to learn how PHP works. That means, if your requirement needs programming and the use of database, I cannot help you at this point. I can do, however, static web sites or what others call brochure-type web sites. I can also do Flash sites, the one that is like a movie where what you see is animated.

For budget-constrained requirements, I would recommend blogs. Blogs are web sites too. They are interactive and always current; less formal as well and easy to maintain. This blog is an example. It's free. Powered by Google's Blogger. So, what I can do is either to train you on how to make one and use it; or, I can do it for you and then teach you later on how to maintain it.

If, however, you want your own domain name, you can register one. For your domain and web hosting requirements, I usually recommend philhosting  dot net. So far, this is the provider I find to have the most affordable prices.

Accounting Automation

Aside from the payroll program that I sell, I also do consulting. By profession, I am a private accountant. I've had years of accounting jobs that at this point I no longer want to do bookkeeping or the tedious and nitty gritty part of accounting. I'm done with the routine accounting deadlines. At this point, I prefer a less stressful kind of job.

When I was working as an accountant, I was able to use my programming skills to facilitate and speed up my job. I had to automate everything because I easily got bored of so many paper works and volumes of calculations. I wanted my work a lot easier. Why suffer the pain of manual accounting when I can just click to post and prepare the financial statements.

So, what I do now is to encourage small businesses to automate their accounting system. There are many accounting software available in the market like MYOB , Simply Accounting , and Peachtree . Among the three, I usually recommend MYOB. I'm satisfied with its features and its data security. But I won't recommend it in a network environment for the reason that it uses the file-sharing technology of Windows. If a number of users are already working on the same data file, the systems slows down. Another thing is that you will need to get an authorization number (company code) from MYOB, which is a hustle, each time there is a network error. The company code is something that you cannot get everyday. There is a limit of times depending on your product license.

To develop an accounting system will take years, so I'm not ambitioning that. MYOB, Simply Accounting, or Peachtree will work well. Upon installation, which takes a few minutes, you can implement it at once. Compared to a customized accounting system, it will takes years before you can implement it; plus the fact, that it is more expensive. So, implementing these over-the-counter accounting systems to your businesses is a wise decision. It's economical and more satisfactory because you see results at once.

My services include installation and setup of the software, training, and assistance to the migration process. In the training, we'll go live at once. We'll use your real data because that's part of the migration process.

the New Payroll

I started developing my payroll in 2000. I used Visual Basic for Applications to develop the program and Microsoft Access as my back-end database. Since 2000, my payroll has evolved into four versions. My latest edition is the fourth version which is more flexible than the previous versions.

The very first edition was customized for a fastfood business. The company is still using it until now. That time I still had no knowledge of Visual Basic, so I only used macros. It was still crude but still usable. In fact, the company has purchased 15 more copies for 15 more fastfood restaurants.

The second version was for a general business. That time, I already applied Visual Basic so as to make my payroll program more efficient and faster. This version, however, required a procedure that is unique to the company. For that reason, I could not sell it to other companies. So, I developed a third version.

The third edition was more flexible. It included processing of time data based on proximity timekeeping. I made this version more flexible so that it can fit any type of business.

I'm currently revising my payroll today to accommodate the recent changes in revenue taxation. This version is now my fourth edition.

Google's Instant Dictionary

A year ago, I also discovered that the Google search box can be used to define a word. If you want to know the definition of a particular English word, type in the search box "define: " (the colon is required) and the English word  you're searching. For example, to look for the definition of  "lexicographer", type in the search box "define: lexicographer", then hit ENTER key or click that "Go" button or magnifying glass icon (depending on what  browser you're using).

Have you discovered lately what else the Google search box can do?

Currency Conversion

I discovered that the Google search box can actually calculate currency conversion. Cool! Nice work Google! Here's what you write in the Google search box.

amount currency symbol "in" currency symbol

where currency symbol refers to the international currency symbol.

For example, to convert US$100 into Philippine Pesos, type "100 USD in PHP". Try it!

job objective

What can I do for you should you hire me?

I can turn your department into an efficient relevant-information producer. If you have any group of data that you keep manually, I can store, sort, group, and process them to produce an informative report by creating a computer program that will do that job in a short time.

If you're still doing your payroll manually or semi-manually using a spreadsheet program, I will develop a payroll program that will automate everything, whenever applicable, from timekeeping to reporting.

If you wish to market your business, I can design you a web site and your needed marketing collaterals like business portfolio, brochure, flier, product presentation, tarpaulin banner, poster, catalog, e-book, newsletter, magazine, and CD kiosk.

For individual needs, I can enhance your photos, give them a new look, or repair the old ones using some Photoshop techniques.

If interested, simply write a comment with your email address.

my education

1984-1988, COBOL Programming, Systems Technology Institute (Gil Puyat Avenue, Makati City)
After my graduation from college, I studied COBOL Programming at the Systems Technology Institute (now STI College). STI was one of the first IT schools in the Philippines. My training there was extensive. My training was divided into 3 modules: micro COBOL, mini COBOL, and macro COBOL (mainframes). All of my instructors were IT professionals currently working at different companies. For that reason, I learned programming the way it was practically applied in business. The very first computers we used were called Apple II; that's where we would load our COBOL programs.

1979-1983, Bachelor in Accountancy, Polytechnic University of the Philippines (Sta. Mesa, Manila)
I chose accounting by default; meaning, it was one of the few courses opened at the university at a late enrolling time. I had no ambition at that time. All I wanted was to work in an office so that I could help my mother financially.

My grade average was 1.96 (85%-87%)

1975-1979, High School, Malate Catholic School
My high school was a bad experience. It was my adolescent period that I realized my father died 4 years ago. It was in this period when I was sexually molested the first time by an old man (but I have redeemed myself :-). This is the period, however, I learned to really study and enjoyed the books I had.

1968-1974, Elementary, St. Paul School Makati (former Makati Catholic School)
My elementary school was a sad experience. Being poor, I had no books. I relied mainly on my notes, which were very few. Not at all times that I got to take the periodic exams due to unpaid tuition fees. As a result, my grades were very low. The highest grade I could earn was 78; I'd be lucky to get 79 or 80. My social, emotional, psychological, and physical formation years were not that healthy. Spiritually, however, my formation was enough.

In my sixth grade, I was diagnosed with rheumatic heart disease that caused me to stop schooling for one year.

1968, Grade One, Generosa de Leon Memorial School (Paranaque)
This is where I first studied but I was not able to complete my first grade because my sisters who were teachers in that school moved to another school. (Nora Aunor was in her high school then at the same school.) I continued my first grade at Makati Catholic School.

I had no kindergarten schooling. On my supposedly first day in kindergarten school, I backed out. With no questions asked, my father simply sent me back home. Without a preschool background, my reading skill was poor which to my classmates' delight, found a way to ridicule me.
